Summary of Job
This role encompasses a blend of responsibilities in both marketing project management and
administrative support for recruitment at Adventures in Missions and The World Race. As a
Marketing Admin/Project Manager, the primary focus will be on executing marketing campaigns,
managing project timelines, and delegating tasks to ensure that all deliverables are completed
on schedule and within budget. In addition to these marketing duties, this role also provides
crucial administrative support to the admissions and recruitment teams, ensuring that participant
information is handled efficiently and that communication remains clear and timely throughout
the process. By serving both teams with a servant-hearted attitude, this position plays a vital
role in fostering a collaborative and positive work environment, supporting the overall mission
and goals of the organization.
 
Essential Duties and Responsibilities:

Project Management:
○ Work alongside marketing leadership to develop and manage detailed project
plans, schedules, and budgets for marketing campaigns to ensure timely
completion and adherence to financial constraints.
○ Allocate resources, supervise team members, and delegate tasks to
stakeholders, ensuring effective communication and collaboration throughout the
project lifecycle.
○ Identify and mitigate risks, anticipate potential issues, and create contingency
plans to ensure smooth project execution.
○ Monitor project progress, manage changes to scope, and report regularly to
stakeholders on project status, risks, and outcomes.
○ Conduct post-project evaluations to identify lessons learned and opportunities for
process improvement.
○ Ensure compliance with relevant regulations, policies, and standards throughout
the project.

Recruitment Administration:
○ Keep all participant information and marketing processes up to date in Active
Campaign and other systems.
○ Maintain and update Calendly for scheduling, ensuring all appointments and
timelines are met.
○ Track participant data and pipeline progress to ensure smooth operations and
completion of administrative tasks.
○ Assist with resolving participant issues, collaborating with the manager to ensure
high levels of satisfaction.
○ Update Active Campaign notes, maintain accurate records, and follow up with
participants as needed.
○ Provide insights to improve recruitment and marketing processes based on
participant feedback and internal reviews.
○ Ensure participant deals and marketing projects move smoothly through the
pipeline, addressing any administrative or project bottlenecks.
○ Follow up on all leads in a timely manner and provide necessary administrative
support to the recruitment team.
○ Ensure continuous improvement by reporting on project outcomes and ways to
improve recruitment and marketing strategies

Marketing Administration
● Support the creation of social media posts, blogs, newsletters, and promotional
materials to inspire engagement and tell the story of our missions.
○ Monitor and update social media channels, track engagement metrics,
and respond to messages to enhance brand presence.
● Assist in drafting, scheduling, and managing email marketing campaigns,
ensuring consistent communication with potential participants, alumni, and
supporters.
● Ensure that all content aligns with the organization’s mission, values, and voice
to maintain a cohesive brand image.
● Work closely with program leaders and staff to gather stories, testimonials, and
updates that can be shared across marketing platforms.
● Provide administrative support, including scheduling meetings, maintaining
marketing calendars, and organizing files for efficient workflow.
● Utilize tools like Canva, MailChimp, Google Analytics, and other platforms to
streamline marketing processes.
● Assist in developing promotional content for fundraising campaigns and donor
engagement specifically for year end initiatives.
