The Gap Year Squad Logistics Coordinator provides spiritual, operational, and administrative support for the logistics, finance, and risk management processes for World Race Gap Year across all phases of the trip cycle: training camp, launch, field, and Project Searchlight. They are ministers of Adventures who equip, train, and lead participants in Adventures' mission trips.

 

Ministerial Duties:

  • Pursue intentional relationships with the participants through email, voice, video, and in-person interactions with the purpose of spiritually supporting, encouraging, and calling out spiritual gifts.

  • Participate in the core training sessions and lead instructional breakout sessions to prepare World Racers for life and ministry in the field.

  • Travel to the mission field to visit the assigned squad during one debrief.

  • Develop a team of ministry partners to complete the fundraising goal. 

 

Administrative tasks:

  • Serve as the main point of contact for all Gap Year logistics leaders to ensure that all logistical processes are properly executed on the field.

  • Support field logistics leaders in the areas of squad travel, visa obtainment, and debriefs.

  • Lead and ensure understanding in finance, logistics, and risk management training for squads and teams at training camps and launches.

  • Complete administrative tasks such as FRMS maintenance, STEP registration, training reminders, attainment of phone numbers in each new country, team placement reminders, and communicating necessary risk and safety information.

  • Drive the process of setting up debriefs, assuring proper lodging, meeting space, transportation, food, budget, communication and coordination between coaches, staff, and squad.

  • Manage the field financial processes, including preparing team budgets, troubleshooting budget worksheet problems, identifying process disconnects which result in budget variances and working with the field to correct, auditing receipts for accuracy and quality, monitoring Visa card usage and assisting with issues as they arise, providing feedback to the field.

  • Implement the processes and evaluations that result in the attainment of relevant metrics and dashboards with respect to growth, quality, and cost in our programs.

  • Communicate information in a timely manner to those on the field and in the office.

  • Proactively look for opportunities to improve systems and processes as they relate to operations.

  • Assist in preparation for boot camp, training camp, and project searchlight.

  • Assist coaches and SQMs in detail-oriented tasks.
