Camp/Event Coordinator

Summary of Job        

The Camp/Event Coordinator will work alongside the Event and Merchandise Manager to plan, manage and execute the operations of all Adventures camps and events, including but not limited to, World Race Training Camps and Launches, Project Search Light, Ambassador and Staff Events.

The primary responsibilities are to execute program and operational strategies for each event with excellence and to work as a team in order to create logistically sound, highly engaging events.  
 

Essential Duties and Responsibilities

Events:

  • Responsible for operational emergencies during all program training camps and events.

  • Manage the reservation, set up, and clean up of all rooming needs for every event and leader training. Maintain all reservations, updating the Google calendar and communications to staff and volunteers as needed.

  • Maintains relationship with vendors and contractors.

  • Arrange transportation and lodging for volunteers during World Race Training Camp.

  • Organize transportation and flight schedules for each event, including communicating to assigned drivers and scheduling transportation companies or enterprise reservations.

  • Work with operations staff for campus improvements prior to and during camps, emergency issues that arise, and changes that need to be made on a moments notice.

  • Work alongside program teams to arrange event schedules that overlap.

  • Create and communicate meal plan for staff and participants with kitchen staff.

  • Assist Event Project Manager in name tag creation for staff and participants.

  • Assist with compiling World Race Training Camp documents for staff and participants.

  • Manage storage and update inventory for all materials and supplies.

  • Responsible for completing invoices and payments for vendors and contractors.

  • Recruit, coordinate and oversee serve team during program events.

  • Develop and maintain Camp/Event manuals for campus operations.

  • Assist the merchandise coordinator and campus operations manager as needed.


Competencies Required

  • Strong communication skills (written/verbal), interpersonal skills, positive attitude, and the ability and desire to work and thrive in a collaborative environment that values participative leadership.

  • Proficient computer skills, basic knowledge of Google Suites.

  • Ability to take command and empower volunteers.

  • Established record of high character, and a servant mentality.

  • The ability to collaborate with people across multiple departments

  • Able to manage and oversee the daily operational/administrative needs of multiple departments, including managing to timelines.

  • High capacity for details.

  • The ability to facilitate and utilize feedback.

  • The flexibility to meet shifting needs and willingness to work flexible hours. Will do “whatever it takes.”
